The Complete Client Journey

One connected journey from first enquiry to a client on a regular interval with a membership and a retail routine, so the experience does not depend on which stylist they got.

The problem this solves

The first visit decides everything and it is the least designed part of the salon.

A new client books online, arrives, is handed a form on a clipboard, sits with a stylist who has not seen their answers, has a good haircut, pays, and leaves. No consultation record, no photograph, no colour formula stored where the next stylist can find it, no rebook, no retail recommendation, and no reason to come back rather than try the next salon on Instagram.

Then if that stylist leaves, the client's entire history leaves with them, because it was in that stylist's head.

How it works, step by step

Every wait, threshold and branch below is a value we set with you during the build, against your stages and your language. None of it is a default we impose.

  • What starts it
  • It decides something
  1. Step 1Trigger

New client intake happens before arrival: hair history, previous colour, allergies and patch test status, what they want, and what has gone wrong before.

  2. Step 2

Patch test requirements are tracked and enforced as a booking gate where the service and jurisdiction require it, because this is a genuine liability rather than an administrative preference.

  3. Step 3

The stylist receives the intake before the client sits down.

  4. Step 4

Consultation output is recorded on the client, not in a stylist's head: the formula, the technique, the timing, the products used, and photographs with the client's consent.

  5. Step 5

The service records what was done and the maintenance interval it implies, feeding System 3.

  6. Step 6

Retail recommendation happens as part of the service with the reason attached, and is recorded so the reorder timing is known.

  7. Step 7

Checkout completes the rebook per System 3, and where the salon offers one, the membership conversation happens at the second or third visit rather than the first.

  8. Step 8

A post-visit follow-up asks how the colour settled, which is a service and an early warning: an unhappy client who is asked usually says so, and an unhappy client who is not asked simply never returns.

  9. Step 9Branch

The full record stays with the salon if the stylist leaves.

How it gets built

Built inside what you already run

  • Phorest
  • Boulevard
  • Fresha
  • Vagaro
  • Zenoti
  • or whatever your office already runs on

Nothing to log into and nothing to license. If a system needs a record your platform does not hold, we add the field to your platform rather than starting a second one beside it.

This is the actual build order, in the phases its own steps fall into. It runs in supervised mode first, with you approving what goes out, until you are happy with the tone.

  1. Build and connect it8 of 9 steps
  2. Prove it before it runs alone1 of 9 steps
  1. 1

    Build

Build pre-arrival intake with a senior colourist.

Built inside the software you already run, against your stages and your language.

  2. 2

    Build

Build patch test tracking as a booking gate, and confirm the requirements for the salon's jurisdiction and insurer.

  3. 3

    Build

    Build the stylist brief.

  4. 4

    Build

Build formula and photograph capture into the service, with consent recorded. If it takes longer than writing on a card it will not be used.

  5. 5

    Build

    Connect service to interval.

  6. 6

    Build

Build retail recording with reorder timing.

  7. 7

    Build

Build the membership conversation trigger at the right visit.

  8. 8

    Build

    Build post-visit follow-up.

  9. 9

    Prove

    Run supervised for two weeks.

It runs with a person approving what goes out until you are happy with the tone. Nothing sends unreviewed on day one.

What changes after it goes live

How it runs today

The first visit decides everything and it is the least designed part of the salon.

After this one is live

New clients get a designed first visit. Formulas live in the salon rather than in a stylist's memory, which means a client can be covered when their stylist is away and retained when their stylist leaves. And an unhappy client says so while it can still be fixed.

How to measure whether it worked

Your arithmeticRun with your numbers, not ours

Three numbers: new client retention to a second visit, retail attachment rate, and clients lost when a stylist left. The third is the one that persuades an owner, because every salon owner has lived it.

We agree the baseline before anything is built, and we do not take credit for things that were going to happen anyway. There is no figure on this page claiming what we have produced for somebody else, because there is no verified figure to publish.

What we will not do

This is from the same delivery document as everything above it. It is on the page because a supplier who has not thought about it will not tell you, and you would find out later.

The stylists are the constraint, not the technology. In an employee-based salon the owner has authority, but a stylist can leave and take a column. Every system here that touches a stylist must be framed as their income and introduced by the owner before it appears. A rebooking rate presented as surveillance will cost the salon a stylist, and that is a worse outcome than any gain in the system.

Patch testing and allergy records are a genuine liability. Colour services carry a real risk of allergic reaction, and requirements differ by jurisdiction and by insurer. System 5 treats patch test status as a booking gate, and that configuration must be confirmed against the salon's own insurance requirements and local regulation rather than assumed.

Client photographs need consent, recorded. Before-and-after images are standard practice and marketing gold, and they are also images of identifiable people. Consent must be captured, recorded, scoped to specific uses, and revocable. A consent for a formula record is not a consent to post on Instagram.

Messaging. TCPA and CAN-SPAM apply.

  • Classify systems as service or marketing before they send. An appointment reminder and a seasonal promotion are different things under different consent standards, and the reactivation messages in System 6 are marketing no matter how service-like they sound.
  • Consent per number with date, source and scope.
  • Quiet hours 8am to 9pm in the recipient's local time.
  • Immediate opt-out honoured across every system, including the booking platform's own messaging.
  • Instagram and Facebook messaging carry the platforms' own policy restrictions on automated and promotional messaging, which are separate from and sometimes stricter than the law. System 1 touches these channels and the configuration must respect platform policy or the account is at risk.

Data. Client records contain contact details, service history, photographs and sometimes health information relating to allergies. Access controls, retention limits and deletion rights apply, and several states now grant those rights explicitly.

Nothing here is legal advice. State cosmetology regulation, health and safety rules, insurance requirements, telemarketing law and platform policy can each add requirements.

Nothing here is legal advice. Rules in this area have moved more than once recently, and every template that states a commercial term or a guarantee goes to your own counsel before it goes live.

The full set

Seven systems forhair and nail salons.

We build one at a time and prove it moved before starting the next. The tiers are the dependency order, not a price list.

Tier 1Foundational

Nothing arrives late or unowned. These come first because everything above them assumes they are true.

  1. 1Multi-Channel Capture & Correct BookingCorrect booking, because a column running to time is what earns the stylists' cooperation for everything else.
  2. 2Confirmation, Reminders & Deposit ProtectionConfirmations, rescheduling and deposits. Fast, measurable, and it reduces the most visible loss.

Tier 2Growth

The recoverable money. These work the pools the foundational systems have made visible for the first time.

  1. 3Rebooking At The ChairRebooking at the chair. This is the product. Everything before it exists to make it possible and everything after it compounds it.
  2. 4Open Chair RecoveryOpen chair recovery, which uses the intervals System 3 records.

Tier 3Flagship

One connected system end to end, plus what the owner reads on a Monday. Only once the pieces are proven individually.

  1. 5The Complete Client Journeyyou are hereThe complete journey, once the pieces are proven.
  2. 6Retention, Reactivation & MembershipRetention and reactivation, which depends entirely on System 3's interval data.
  3. 7The Owner's Morning BriefOnly meaningful once there are systems to report on.

The tiers are the dependency order for hair and nail salons, not a price list. Most firms do not start at the first one, because the order is a default and the call is where it gets changed.

A note on sequencing this trade

Sequencing note. System 3 is the entire business case for this vertical. If an owner will only fund one thing, fund that, and use their own best stylist's rebooking rate as the benchmark. Do not lead with the flagship, and do not attempt System 6 before System 3, because reactivation without recorded intervals is just a promotional list with extra steps.

Is this the oneyou need first?

Often it is not. On the call we look at what is actually costing you most right now, which is frequently a different system from the one that brought you to this page. If there is nothing worth building yet, we will say so.

Fourteen questions, about seven minutes. No price, no purchase, and nobody calls you unless you ask them to.
