The problem this solves

A cancellation the afternoon before is fillable, and filling it means somebody working a waitlist. That person is on the desk with two clients checking out and a phone ringing.

The waitlist itself is usually the bigger problem: a list of names with no note of what service they want, which stylist they see, or what days they can actually do. So working it means six calls to find one client who fits, and nobody has time for six calls.

And offering a slot to everyone at once creates a scramble, several disappointed clients, and one who now knows the salon's availability is not real.

How it works, step by step

Every wait, threshold and branch below is a value we set with you during the build, against your stages and your language. None of it is a default we impose.

    Priority order is agreed in advance. Clients past their maintenance interval come first, because filling a gap with a client who is overdue solves two problems at once.

    The offer goes to one client at a time with a real hold.

    The moment somebody takes it, every other pending message about that slot is cancelled.

    The waitlist maintains itself: joining captures service, stylist, days and times that genuinely work, and an expiry, so a client who has since been in drops off.

How to measure whether it worked

Count unfilled chair hours last quarter and value them at the average service price for that stylist and that time slot. Separate stylist level, because a senior colourist's hour and a junior's are very different numbers.

We agree the baseline before anything is built, and we do not take credit for things that were going to happen anyway. There is no figure on this page claiming what we have produced for somebody else, because there is no verified figure to publish.

What we will not do

This is from the same delivery document as everything above it. It is on the page because a supplier who has not thought about it will not tell you, and you would find out later.

The stylists are the constraint, not the technology. In an employee-based salon the owner has authority, but a stylist can leave and take a column. Every system here that touches a stylist must be framed as their income and introduced by the owner before it appears. A rebooking rate presented as surveillance will cost the salon a stylist, and that is a worse outcome than any gain in the system.

Patch testing and allergy records are a genuine liability. Colour services carry a real risk of allergic reaction, and requirements differ by jurisdiction and by insurer. System 5 treats patch test status as a booking gate, and that configuration must be confirmed against the salon's own insurance requirements and local regulation rather than assumed.

Client photographs need consent, recorded. Before-and-after images are standard practice and marketing gold, and they are also images of identifiable people. Consent must be captured, recorded, scoped to specific uses, and revocable. A consent for a formula record is not a consent to post on Instagram.

Messaging. TCPA and CAN-SPAM apply.

  • Classify systems as service or marketing before they send. An appointment reminder and a seasonal promotion are different things under different consent standards, and the reactivation messages in System 6 are marketing no matter how service-like they sound.
  • Consent per number with date, source and scope.
  • Quiet hours 8am to 9pm in the recipient's local time.
  • Immediate opt-out honoured across every system, including the booking platform's own messaging.
  • Instagram and Facebook messaging carry the platforms' own policy restrictions on automated and promotional messaging, which are separate from and sometimes stricter than the law. System 1 touches these channels and the configuration must respect platform policy or the account is at risk.

Data. Client records contain contact details, service history, photographs and sometimes health information relating to allergies. Access controls, retention limits and deletion rights apply, and several states now grant those rights explicitly.

A note on sequencing this trade

Sequencing note. System 3 is the entire business case for this vertical. If an owner will only fund one thing, fund that, and use their own best stylist's rebooking rate as the benchmark. Do not lead with the flagship, and do not attempt System 6 before System 3, because reactivation without recorded intervals is just a promotional list with extra steps.
